Import your existing customers
Bring your customer list into Servinix from a CSV file instead of typing each customer by hand. You review every row first, and nothing is saved until you approve.
Before you start
- You must be an owner or an office admin. Other users do not see the Import button.
- Your login also needs access to the AI Assistant, because the import opens in the AI Assistant panel.
- Export your customers from your old system or spreadsheet as a CSV file. Only CSV files work.
- If you want a head start on the layout, use the template described in step 3.
Steps
- Open Customers.
- Select Import in the toolbar. If your customer list is empty, select Bring My Customers In instead. The AI Assistant panel opens on Import Customers.
- To see the layout Servinix expects, select Download Template. It gives you a CSV file named
servinix-customers-template.csvwith one header row. Columns include First Name, Last Name, Company Name, Email, Mobile Phone, Customer Type, Status, Street, City, State, Postal Code, and billing address columns. - Drag your CSV file onto the drop area, or select Choose a File. Servinix shows how many rows it found.
- If your column headings do not match the template, select Match Columns Myself. For each column, pick the customer field it fills, leave it on Match Automatically, or choose Don't Import. Pick each field only once, then select Continue.
- Select Review. The review page lists your customers in tabs, with counts for New, Update, Decide, and Can't import.
- Work through the rows that need you. Turn on Only Rows That Need Me to see just those.
- Edit a row to fix a value, then Save.
- On a Decide row, compare In the File with Already in Servinix. Choose Update to apply the file's details to the existing customer, or Skip to leave that row out. Use Include Again to bring a skipped row back.
- An Update row shows each changed field as old value → new value.
- When no rows need a person, select Approve Import. The page reminds you that nothing is saved until you approve and that you can undo for 7 days.
Result / verify
The page shows how many rows saved and how many did not go through. Each row that failed says why. Select Download Failed Rows to fix them in a spreadsheet, or Fix the Failed Rows to correct them on the page. Your customers now appear on the Customers list.
To see past imports, open Settings and select Imports.
Undo an import
Within 7 days of approving, open the import and select Undo, then Undo Import. Customers the import added are removed. Records that a job, estimate, or invoice already uses stay, and the answer lists them by name.
To throw away an import you have not approved, select Discard Import. This deletes the draft and every row in it.
Troubleshooting
- "Only a CSV file works here." Save your spreadsheet as CSV and try again.
- "This file is empty." The file has no rows. Check the export.
- "Another customer import is still open." Review or discard the open import before you start a new one.
- "This login isn't allowed to import here." Ask an owner or office admin to run the import.
- No Import button. Your login is not an owner or office admin, or it does not have AI Assistant access.
