Send an invoice

3 min read

Send a finished invoice to your customer by email, or by printed mail, from the Servinix portal. You can attach the PDF and include a link so the customer can pay online.

Before you start

  • You need access to the Payments page in the portal.
  • The invoice must exist already. To make one, see View and manage invoices.
  • The customer needs an email address on file to receive the invoice by email. To send by mail, the customer needs a mailing address on file. You can add either on the customer's profile.
  • To include a pay link, connect Stripe first. See Connect and configure Stripe payments.

Steps

  1. Go to Payments in the left navigation to open the invoice list.
  2. Find the invoice. You can use the Status filter to narrow the list.
  3. Open the invoice actions for that row and select Send Invoice. You can also open the invoice and select Send at the top of the invoice.
  4. In the Send Invoice window, look at Delivery Channels. Email is selected by default.
  5. Check the To address. To change it, select Edit Email and type the new address.
  6. Optional: in Add CC recipients..., enter the addresses that should also get a copy.
  7. Leave Attach PDF selected if you want the invoice PDF attached to the email.
  8. Optional: select View Summary to review what the email will include. The summary shows the amount, due date, and whether a payment link is included. The email's design may differ from the summary.
  9. Under Payment Options, leave Include Payment Link selected if you want the customer to be able to pay online. If the option is greyed out, the invoice cannot carry a pay link yet. See Troubleshooting.
  10. Optional: to send a printed copy, select Print & Mail. The window shows the mailing address, the estimated delivery time in business days, and the cost.
  11. Select Send Invoice.

Result / verify

Servinix shows the message Invoice sent to confirm the send. The customer receives an email with the invoice. If you attached the PDF, the PDF is in that email. If you included the payment link, the customer can use it to pay.

What your customer receives

  • An email addressed to the customer with the invoice details: the invoice number, the amount, and the due date.
  • The invoice PDF, if Attach PDF was selected.
  • A pay link, if Include Payment Link was selected and Stripe is connected.
  • A printed copy by mail, if Print & Mail was selected.

Troubleshooting

You see a Duplicate Send Warning. The invoice was already sent a short time ago. Select Send Anyway only if you want to send it again. The window may also show Can resend in with a time.

Texting is not available. The SMS option is switched off and shows "Texting is coming soon with Maya". Send by email or mail for now.

No mailing address on file. Add the address to the customer's profile, then try Print & Mail again.

The send fails. Servinix shows "Couldn't send the invoice". See Invoice not sending.
