Merge two records for the same customer

1 min read

Servinix does not merge two customer records into one. When the same customer appears twice, keep one record and mark the other Inactive.

Before you start

  • Customers are never deleted in Servinix. Marking a record inactive hides it from day-to-day work and keeps its history.
  • Decide which record to keep. Keep the one with the most history, or the one with the correct name, phone and email.

Steps

  1. Go to Customers and search for the customer by name, phone or email. See Search and view customers.
  2. Open both records and compare them. Note anything on the duplicate that the record you keep is missing, such as a phone number, an email address or a site.
  3. Add the missing details to the record you keep. For sites, see Manage customer sites.
  4. Open the duplicate record and choose Mark Inactive.
  5. From now on, create new jobs and estimates under the record you kept.

What happens next

  • The duplicate shows an Inactive label. Choose Reactivate on it at any time to bring it back.
  • Jobs, invoices and notes already on the duplicate stay on the duplicate. They do not move to the record you kept.

Common questions

Will the old jobs and invoices appear on the record I kept? No. They stay on the inactive record. Open it to see them.

Can I stop duplicates from being created? Search before you add a customer. When you import a list, review the duplicate rows before you approve. See Import your existing customers.
