Refund a card payment
2 min read
Give a customer money back on a card payment. You can refund the full amount or part of it, and you can refund the same payment more than once until nothing is left.
Before you start
- You must be signed in as an Admin. Other roles do not see the Refund action.
- The payment must be a card payment that has been paid. A pay link that was sent but not yet paid cannot be refunded.
- Cash and check payments have no Refund action. To correct one of those, see Record a cash or check payment.
- Refunds go back to the customer's card through Stripe. Stripe must be connected. See Connect and configure Stripe payments.
Steps
- Go to Invoices and open the invoice.
- In Payment history, find the card payment you want to refund.
- Open the row's actions and choose Refund.
- Enter the amount. It starts at what is still refundable. You cannot enter more than that.
- Choose a reason: Customer cancelled, Overcharged, Duplicate payment, Goodwill or Other. If you choose Other, add a note.
- Confirm the refund.
What happens next
- The payment row shows a Refunded label and a line for the refund. Refund the same payment again later for any amount that is left.
- The customer receives an email that a refund was issued. Servinix sends no text message for refunds.
- The money reaches the customer's card on the card issuer's schedule, which Servinix does not control.
Common questions
Why is there no Refund action on a payment? The payment is not a paid card payment, it is voided, it is fully refunded already, or you are not an Admin.
Can I undo a refund? No. A refund is final once you confirm it. If it was a mistake, take a new payment from the customer.
Can I refund a cash or check payment? Not from here. Cash and check payments are records of money you received outside Servinix, so give the money back yourself and note it on the invoice.
